1. Who are we?

This website is owned and managed by Humanity & Inclusion UK and the processing of your personal data is carried out by us or on our behalf.

Humanity & Inclusion UK is the operating name of Handicap International UK, a charity registered in the UK (No 1082565) and a UK company (No 4010383) registered at 9 Rushworth Street, London SE1 0RB.

3. Notification of change of Privacy policy

We reserve the right to amend this Privacy Policy from time to time. Please visit this website section periodically in order to keep up to date with the changes in our Privacy Policy.

For example, it was updated to reflect new legal requirements in advance of the EU General Data Protection Regulation which came into force in the UK on 25th May 2018 and following the withdrawal of the UK from the European Union on 31 January 2020.

5. Job applicants privacy notice

This Privacy Policy does not apply to personal information that we collect from you if you apply for a job with Humanity & Inclusion UK.

During the recruitment process, Humanity & Inclusion UK collects and processes personal data relating to job applicants. We are committed to being clear and transparent about how we collect and use that data and to meeting our data protection obligations. 6. How do we use your information?

We may use your information in a number of ways, including:

  • To provide you with information, products or services that you have requested from us or that we feel may be of interest to you;
  • To provide you with information about our work or our activities;
  • To invite you to participate in interactive features on our website;
  • To process donations we may receive from you;
  • To fundraise in accordance with our internal policies and procedures, including implementing appropriate analytics tools and screening measures in accordance with the terms of this policy;
  • For administrative purposes (for example, we may contact you regarding an event for which you have registered, to provide information requested from us or with a query regarding a donation you may have made to us);
  • For internal record keeping relating to any donations, feedback, or complaints;
  • To invite you to participate in voluntary surveys or research;
  • To contact you where you have been identified as a contact person for an organization, such as a school (if we obtain your contact details in this way, we will only use them to contact you in your capacity as a representative of that organization);
  • To analyze and improve the content and operation of our website;
  • To analyze and improve our internal business processes;
  • To analyze the personal information we collect about you and use publicly available information to better understand your interests, preferences and level of potential donations so that we can contact you in the most appropriate way and to ensure that we do not send you unwanted communications;
  • To tailor advertising that is presented to you on the Internet according to your interests, preferences and other characteristics (as described below);
  • To direct advertisements and other communications to other people who may have similar interests or other characteristics to yours (as described below);
  • Where we are required by law or as part of an ongoing legal complaint or investigation to disclose or otherwise use your information.

In particular, we may contact you for marketing purposes by email, phone or text message if you have agreed to be contacted in this manner.  We may also send you service communications via email or text, for example where you place an order for goods or services on our website, or you have made a donation by text.

If you have provided us with your postal address, we may send you information about our work or other communications of the kinds described above by direct mail unless you have told us that you would prefer not to hear from us in this way.  We provide information about how you can change your marketing preferences in all communications.

7. How will we analyze the information we collect about you?

In our Supporter Promise, we have committed to communicating with you using an approach that is right for you. This means that we carefully manage the communications we send you to ensure that we are contacting you in the most appropriate way and that we are not sending you unwanted communications.

In order to do this, we may combine the information that we collect about you and analyze what we know about your interests, preferences and level of potential engagement or donation. We may also use statistical analysis to analyze this data and understand the likelihood that you will be interested in or responsive to a campaign or message. We may use third party service providers to assist us in this process.  We may also use your data to assist us in finding new potential supporters using your likes and interests.

You can opt out of your data being analyzed by contacting our Supporter Care Team, but doing this may mean that you stop receiving marketing communications from us more generally.

In accordance with our legal and regulatory obligations and our internal policies and procedures, we may also use personal information to carry out due diligence on potential or actual donors.  If you opt out of analysis of your data for due diligence purposes, we may not be able to accept donations from you.

Where you have agreed to receive email or SMS marketing communications from us, we may provide your email address or mobile phone number in an encrypted format to social media companies, such as Facebook, Instagram, Twitter or YouTube, or to digital advertising networks that are providing services to us by displaying our advertising to you on those social media platforms and other websites, as well as identifying audiences with interests similar to yours.

You can opt out of your data being used to display advertising to you by contacting our Supporter Care Team or our Data Protection Office as described below.  However, this will not prevent our advertisements being shown to you on a randomized basis or based on cookie data (in accordance with our Cookies Policy) and may mean that you stop receiving marketing communications from us more generally. We enter into contracts with all of these service providers that require them to comply with data protection laws and to ensure that they have appropriate controls in place to protect the security of your information.

8. How is your personal data protected?

Humanity & Inclusion UK takes the care of your data seriously and is committed to protecting your personal information that you provide to us. We use industry-standard tools to safeguard the confidentiality of your personally identifiable information. We also seek to follow best practice, such as the Institute of Fundraising's Data Protection Code, and review our procedures regularly.

We are registered with the Fundraising Regulator, which sets and maintains the standards for charitable fundraising, aiming to ensure that fundraising is respectful, open, honest and accountable to the public. We are committed to complying with its Fundraising Promise and the Code of Fundraising Practice.

We cannot be held responsible for the privacy of data collected by websites not owned or managed by Humanity & Inclusion UK and your use of such websites is at your own risk.

9. How do we collect information?

This Privacy Policy tells you what to expect when this website collects personal information. It applies to information we collect about visitors to this website, and those who log in to this website.

When someone visits this website we collect standard internet log information and details of visitor behavior patterns. We do this to find out things such as the number of visitors to the various parts of the site. We collect this information in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting this website. We will not associate any data gathered from this site with any personally identifying information from any source.

If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

We may supplement what we know about you with information that is available to the public. For example, in order to ensure that our communication with you is relevant and tailored to your background and interests, we may collect information about you from publicly-available sources either directly or through third-party subscription services or service providers. 10. Third-party content

From time to time, we may embed external content from third-party websites (e.g. Facebook, YouTube) within our website. These websites may utilize cookies and the Privacy Policy that will apply to such third-party content will be that published on the website of that third-party content provider. We will not be responsible for any third party content or any third party site that you may choose to visit through links on our site.

11. Surveys

Occasionally we may ask you to fill in questionnaires or surveys whilst online. The data collected by the questionnaire or survey will only be used for the purpose stated on the form. You may also be given the opportunity to add your personal information such as telephone or email address to our databases so we can contact you in the future. We will only use this information to contact you if you expressly give us permission to do so.

12. Financial information

In order to process financial transactions on our website, we may ask you for your bank or credit card details. We do this in accordance with the Payment Card Industry Security Standard, and don't store the details on our website. All online transactions will be encrypted through a secure online payment provider using SSL (Secure Sockets Layers) and the data collected are hosted on secure encrypted servers (ISO27001 and PCI DSS certification) based in the EU.

13. Personal information

When you supply information such as your name or email address to us, we are legally obliged by the Data Protection Act 2018 to ensure that we only use this information for the purpose for which it was requested, and to ensure that it is kept securely.

14. Children’s data

When you submit your information to us through the website (e.g. in a form, donation, petition, poll or any other means) you are stating that you are over 18 years of age or are a minor acting with parental consent. You agree that any information you provide to us about yourself upon registration or at any other time is true.

15. Email terms of use

The content of any email that you receive from us reflects the views of its author and does not necessarily reflect the views of Humanity & Inclusion UK.

It is also important to point out that emails aren't always secure, and it can happen that they are intercepted or changed by third parties after they've been sent. Humanity & Inclusion UK doesn't accept liability if this happens to emails that we receive or send. Please do not send any financial information via email.

16. Who is my information shared with?

Humanity & Inclusion UK will not disclose any of your personal information, except where expressly stated otherwise, as set out in this Privacy Policy, or when we have your permission or under special circumstances, such as when we believe in good faith that the law requires it. For example, if you pay for products or for services or make donations online or over the telephone, we will share your information with the payment providers who process the payments for us, like Stripe, Secure Trading, Paypal, Google Pay, or Apple Pay.

Humanity & Inclusion UK will not sell or rent your information to anyone. However, we may disclose data to our third party service providers who provide elements of our services for us, including in relation to fundraising and back-office support. For example, we do sometimes ask third party organizations to contact our supporters on our behalf as part of our fundraising activities. However any such third party would be bound by appropriate contractual agreements which would prevent them from using information from Humanity & Inclusion UK for any other purpose. The information gathered in this way remains our legal responsibility and we ensure that data is treated with the same level of care as if we were handling it directly.

In some circumstances we may be legally required to share information, for example in response to a court order or as part of a legal investigation or complaint. This may require us to share information with legal bodies, our professional advisors and regulatory bodies but we will ensure that we have a lawful basis for sharing such information prior to doing so.

17. How long will you keep my information for?

We will keep your information for as long as you have an active relationship with us. If you request to receive no further contact, we may retain some basic information in order to avoid sending you unwanted materials in the future.

18. Will my information ever go outside the UK?

Humanity & Inclusion UK may from time to time share the data held on its supporters with the Federation Handicap International - Humanity & Inclusion (based in France), this may include using shared IT services and/or software across our organization.

In certain circumstances specific personal data may be transferred outside of the UK and/or EU. This information will not include any financial details. Where we transfer data outside the UK, we do so in a way that complies with all applicable laws and protects your data to the same standard required under applicable law, typically through the use of appropriate contractual arrangements.

19. How can I limit or stop receiving messages from Humanity & Inclusion UK?

You can opt out of receiving specific information and types of messages from us by notifying us through the contact details listed below, or by following the opt-out instructions in any email you receive from us.

20. How can I check, amend or request the deletion of the information you hold about me?

In our Supporter Promise, we pledge to make it clear and easy for you to choose how you hear from us. You may contact us at any time to correct inaccuracies in the data which we hold about you, to change your marketing preferences, or if you wish to receive no further information from us. It will help us to find and update your information quickly if you include your full name and address with postcode, together with details of the correction to be made.

Alternatively, you can enter your details in the Fundraising Preference Service (FPS) website by searching for Charity Number 1082565 and selecting ‘Humanity & Inclusion UK’. This service is run by the Fundraising Regulator and allows you to stop email, telephone, addressed post, and/or text messages from a selected charity or charities by using the online service at www.fundraisingpreference.org.uk or by calling the telephone helpline on 0300 303 3517.  Once you have made a request through the FPS, we will ensure that your new preferences take effect within 28 days of your request. 

If you have indicated that you do not wish to be contacted for marketing purposes, we will maintain your details on a suppression list to help ensure that we do not continue to contact you for marketing purposes.  However, we may still need to contact you for administrative purposes, including (but not limited to):

  • Processing a donation you have made and any related Gift Aid;
  • Providing you with the information you need in order to participate in an activity or event for which you have registered (e.g., a fundraising event); and
  • Explaining and apologizing where we have made a mistake.
